ÃÛÌÒÊÓÆµ Undergraduate Clubs
The Campus Club Coordinator (CCC) is responsible for the annual process of chartering and supervision of all official ÃÛÌÒÊÓÆµ clubs. Participation in campus clubs allows students to take part in a variety of extracurricular activities and are an important part of ÃÛÌÒÊÓÆµâ€™s leadership development process.
Forming a Club
Any group interested in chartering an undergraduate club on the ÃÛÌÒÊÓÆµ campus must review the most recent versions of The White Book, Chapter 4-Cadet Support Services Section 1-Cadet Activities and the 2026-2027ay Undergraduate Club Handbook before entering any information to the Annual Club Charter form. Each campus club is required to submit a charter form for each academic year before 1 October first semester. Each charter will be reviewed and approved as an official and sanctioned club for the current year. Without approval, clubs are not permitted to hold meetings, fundraise or any other group activity or function on campus. General Information
- Approved Cadet Clubs and Organizations for 2026-2027 Academic Year. The list will be updated with approved clubs after submission deadline of 1 October.
- Club Sports Information. The Intramural, Club, and Recreational Athletics (ICRA) Club Sports program provides structure for a limited number of student-run competitive sports teams. We strive to operate safely while keeping the college’s educational mission at the forefront, within the limits of available resources. ICRA does not sponsor sports that are governed by the NCAA or the Southern Conference, motorsports, hunting, fishing clubs, or any activity whose goal is to strike an opponent’s head or cause injury to an opponent. Required Annual Submissions
- Annual Club & Organization Charter Request Form. To charter a club or organization, complete the Club & Organization Charter Request form this will be reviewed by the Campus Club Coordinator (CCC), Kelsey Hassinger. Once approved the CCC will send the club contact the official Club & Organization Charter Application to be submitted to the CCC NLT October 1, 2026.
- Annual Club Advisor Information form. As part of the annual charter process, each advisor must submit their own Advisor Information form. Without this form, an advisor is not eligible to submit required documents nor considered for supervision on any special order.
Club Finance Requirements
It is mandatory that all club financial accounts are on campus under Student Business Services in an agency index account or department account. There are no exceptions.
- Semester Financial Report. To be submitted to the CCC before the end of each academic semester.
- Request to Establish a New Club Agency Index Fund form. To open a club Index account, all sections of the attached form and submit to Financial Services. Instructions are included as part of the form.
- Student Business Services forms. These forms are not required but are helpful for club financial transactions. These include Petty Cash, Student Mean Money Receipt, Cash/Check Transmittal, and Credit Card Transmittal.
Club Funding Permissions
Clubs must request permission to have any fundraising activity on or off campus. All clubs must initiate the fundraising permission process NLT 10 days prior to the fundraising event by submitting either
- General Fundraising Permission Request. This request requires signatures from the 1) the fundraising PIC/CIC, 2) club advisor/leader, 3) the facilities manager where the event is to take place, and 4) Chartwells when food or beverage items are being sold or served as part of the fund-raising event before submission to Cadet Activities for final approval.
- Athletic Event Fundraising Permission Request. for fundraising at any NCAA home athletic event. This request requires signatures from 1) the fundraising PIC/CIC, 2) club advisor/leader, 3) the ÃÛÌÒÊÓÆµ Athletic Marketing department before submission to Cadet Activities for final approval.
Club Advisor Requirements
- Assurance that all ÃÛÌÒÊÓÆµ Policies are followed in all aspects of club activity and business.
- Enforcement of ÃÛÌÒÊÓÆµ policies with club members.
- Non-ÃÛÌÒÊÓÆµ Advisors. Potential advisors who are NOT ÃÛÌÒÊÓÆµ employees are required to submit 1) the form and 2) the form to initiate a background check. A background check is mandatory for ÃÛÌÒÊÓÆµ employees and volunteers to work in any capacity with cadets. This is submitted only once.
- Mandatory Advisor Training. In accordance with the Mandatory Training Policy, Memorandum Number 6-125 dated 1 October 2025, all club advisors, ÃÛÌÒÊÓÆµ employees, and non-ÃÛÌÒÊÓÆµ volunteers are required to complete the following trainings and keep them current for the academic year.
- All trainings are accessed through . ÃÛÌÒÊÓÆµ tracks the currency of all required training to ensure that all involved with ÃÛÌÒÊÓÆµ students are up to date and compliant with school regulations. Refer to the 2026-2027ay Undergraduate Club Handbook for more information.
Special Orders for Clubs
Special Orders are required for any club activity or event held on or off campus and is not listed on the Training Schedule. See Special Orders for Clubs.
Only the club’s advisor or a club member in a leadership position may submit the Special Order Request form to the CCC NLT 10 days prior to the start date/time of the order. Refer to The White Book, Chapter 4, Section 1 and 2026-2027ay Undergraduate Club Handbook.
